Save as to PDF and Convert PDF files to MS Office 2013

1. Convert a document Microsoft Word 2013 to PDF 
You can save your Word document as a PDF file.

Click File > Export > Create PDF/XPS.

2. Convert PDF Files to MS Word 2013

A PDF file is a type of file that is designed to be viewable on any computer. if you need to edit a PDF file for any reason, Word 2013 allows you to edit it by converting it into a Word document. Converting a PDF file into a Word document may cause some graphics and content to look different or disappear altogether.

Click File >Open (Find the document) > A dialog box will appear confirming whether you want to convert the PDF file into a Word document. Click OK.

How to Fix Excel Error There Was a Problem Sending the Command to the Program

An Error “there was a problem sending the command to the program” occur when I try to open some excel files in my computer, for the first time Ithink there is a problem with the Microsoft office and need to be repair, but after I try to find the solution when browsing the Internet I found the solution that’s work for me
There is 2 method that you can use to solve the problem
1. Use Problem Fix Software from Microsoft
Fix it for me
To fix this problem automatically on Excel 2010, Excel 2007 or Excel 2003, click the Fix this problem link. Then click Run in the File Download dialog box, and follow the steps in this wizard.

Note This wizard may be in English only; however, the automatic fix also works for other language versions of Windows.

Note If you are not on the computer that has the problem, you can save the automatic fix to a flash drive or to a CD, and then you can run it on the computer that has the problem.

How To Setting List Contact Email In Microsoft Outlook To Microsoft Word Using Mail Merge

In case if you want to send a letter or some packet to your friend, family or your business partner, you want to type their name address etc, but you only save the data in Microsoft Outlook Contact. Is there easy ways to take the contact name to the Microsoft word and print it?
Follow the step below for how to how to setting list contact email in Microsoft Outlook to Microsoft word using Mail Merge

1. Open Your Microsoft Word and go to Tab Mailings
2. Under Select recipients, click Select from Outlook contacts.
3. Click Choose Contacts Folder.
4. In the Select Contact List folder dialog box, click the contact list you want, and then click OK.



5. In the Mail Merge Recipients dialog box, select the recipients you want to include.



Use the check boxes to designate recipients, Select the check boxes next to the recipients you want to include, and clear the ones next to the recipients you want to exclude. Then click OK

6. Go to Insert Merge Field, you can choose what data that you want to display from the contact name



7. Click Preview Result to see the result.

How To Change Microsoft Office 2007 User Interface To Microsoft Office 2003

For someone who already familiar with Microsoft Office 2003 sometime it might be a problem when using new ribbon menu in Microsoft Office 2007. If you are using Microsoft office 2007 but still want to use classic menu just like in Microsoft Office 2003, you can try great tools below:

RibbonCustomizer™ is an add-in for Microsoft® Access™, Excel®, Outlook®, PowerPoint® and Word 2007. It allows you to customize the Ribbon User Interface with only a few mouse clicks! The Professional edition of this add-in is available for $29.99. The Starter edition includes a 30 days free trial of the Professional one. However if you only want to have the Classic menu for Office 2007, the Starter edition should do it.

After install this add-in then go go to View tab, click the drop down arrow button on Customize Ribbon and then go to Customize Schemes. You can select either to show the Classic UI as first tab or the last tab.

Step By Step For How To Protect Worksheet And Cells In Microsoft In Excel 2007

To prevent a user from accidentally or deliberately changing, moving, or deleting important data, you can protect certain worksheet in Microsoft Excel with password. Some new users in Excel sometime still confuse for how to protect sheets and cells. Follow step by step below for how to protect sheets and cells in Excel.

For Example: You want your user only can fill/ type text in the yellow background cells (cannot type outside yellow beck ground cells).

1. Select the cells that you want to protect (the yellow background cells).
Computer Tips: Hold down CTRL key on your keyboard if you want to select another cell

2. On the Home tab, in the Cells group, click Format, and then click Format Cells

3. On the Protection tab, clear the Locked check box, and then click OK.

4. On the Review tab, in the Changes group, click Protect Sheet.

5. In the Password to unprotect sheet box, type a password for the sheet, click OK, and then retype the password to confirm it.

If you want to Remove the protection, simply, On the Review tab, in the Changes group, click Unprotect Sheet and type your Password.

How to Open MS Office 2007 Documents With MS Office 2003 or Earlier Versions

Currently even there is a newer version Microsoft Office like MS Office 2007, many people still using MS Office 2003. Some reason to still using MS Office 2003 is because some people not familiar with the interface in MS Office 2007.

But the main problem is if you still using MS Office 2003 or earlier version you cannot open document from MS Office 2007. How to solve this problem?

Time Count/Calculation using Excel

A: How old are you?
B: I am 38 years old, 11 months and 28 days
A: Wow!.. how do you know exactly your date of birth count from now?.
B: I am using Excel.. :)

Ok, above conversation just an example, you can easily to calculation time by year, months or day using Datedif function in excel.

You cannot find Datedif function in list of excel function, even this function “hiding” from list function but this function very useful for time calculation.

See the example below:
You’re birth of date is 12/5/1970 and present date is 12/2/2009
Use this function below to know the time by year, month and day :

=DATEDIF(Date1,Date2,Interval)



Another option for interval :
1. “m”= To count date by Month.
2. “d” =to count date by day.
3. “y” = to count date by year
4. “ym” = to count Month without the year
5. “yd” = to count day without year
6. “md” = to count day without year and month

You can try each interval option to more understand how to use it.

How to export and save Microsoft office files to the PDF format

You can save files created by many 2007 Microsoft Office system programs in Portable Document Format (PDF), which is a common format for sharing documents.

PDF is a fixed-layout electronic file format that preserves document formatting and enables file sharing. The PDF format ensures that when the file is viewed online or printed, it retains exactly the format that you intended, and that data in the file cannot easily be changed. The PDF format is also useful for documents that will be reproduced by using commercial printing methods.

1. Click the Microsoft Office Button, point to the arrow next to Save As, and then click PDF or XPS.

Note: if you can not find Save as PDF or XPS you need to install Microsoft office add-in, You can download an add-in from here

2. In the File Name list, type or select a name for the document.
In the Save as type list, click PDF.

If you want to open the file immediately after saving it, tick mark the Open file after publishing check box. This check box is available only if you have a PDF reader installed on your computer.

Next to Optimize for, do one of the following, depending on whether file size or print quality is more important to you:
• If the document requires high print quality, click Standard (publishing online and printing).
• If the print quality is less important than file size, click Minimum size (publishing online).

3. Click Options to set the page range to be printed, to choose whether markup should be printed, and to select the output options. Click OK.

4. Click Publish.

Managing Messages By Using Rules - How to received email in specified folder in Outlook 2007

Rule:
One or more automatic actions taken on e-mail messages and meeting requests that meet certain conditions, along with any exceptions to those conditions. Rules are also referred to as filters.

Rules help you manage your e-mail messages by performing actions on messages that match a specific set of conditions. After you create a rule, Microsoft Outlook applies the rule when a message arrives in your Inbox or when you send a message. For example, you can automatically:
• Forward to your manager all messages sent by someone when they arrive in your Inbox.
• Assign the category Sales to all messages you send that have the word "sales" in the Subject box. Flag each meeting request or meeting update you receive from your manager.

You can also run one or more of your rules manually. Running rules manually allows you to selectively apply them to messages already in your Inbox or in another folder.


Follow the steps below for how to received email in specified folder:


Create New Folder


1. Open Microsoft Outlook 2007
2. Right Click Inbox Folder and click New Folder


3. Create New Folder and click OK ( this folder will receive email from selected name from your contact list)



4. New Folder Successfully created




After create a new folder then create a new rules, here’s the steps :

Create New Rules

1. Open Microsoft Outlook, go to Tool -> Rules and Alerts..
2. Click New Rule..

3 Manage the Rules wizard
Tickmark start creating arule from template
• In Step 1: Select a template then select Move message from someone to a folder
• In step 2: Edit the rule description then click people or distribution list

See the the picture below


4. After you click people or distribution list select the name from your email contact list. (the selected name in contact list will move to specific folder)


In step 2: Edit the rule description click Specificed folder


5. Select the folder and click OK. the Selected name from you contact list will move to this folder


6. Click OK then click Finish on the Rules Wizard form

If you want others Email to specific folder. You can repeat the step above.

Speed up your daily work in Microsoft Office by using the short keys

Shortcut keys are combinations of keystrokes on your keyboard that can make the program do a certain task.
Using keyboard shortcuts is a very simple process; simply hold down the “Alt” key. Microsoft word will then display all available shortcuts on the screen. In this example, we’ll run a command “Zoom Page Width” using a keyboard shortcut. See the following figure.



Zoom to Page Width is located under View Tab, press “W” key to activate the View Tab



You can see all available shortcuts inside the View Tab. Since we only want to Zoom to Page Width, its next shortcut key is “I” as referred to the above figure. You can then press “I” button. The zoom to Page Width command is then executed.
In summary, to zoom to Page Width, you can press “Alt” + “W” + “I”. You don’t need to remember the key as Microsoft Word 2007 provide user interface to using shortcuts on the screen.

Now you can minimize the Ribbon for wider work area and using the short keys to speed up your daily work in Microsoft Office

How to set, change or remove password a document, workbook or presentation in Microsoft Office

In the 2007 Microsoft Office system, you can use passwords to help prevent other people from opening or modifying Microsoft Office Word 2007 documents, Microsoft Office Excel 2007 workbooks, and Microsoft Office PowerPoint 2007 presentations.

Generally, how to set, change or remove password in Word, Excel and PowerPoint are the same. You can use below method to set the password (Below example using Microsoft Word).

Follow the Instruction Below:

Set a password
1. Click the Microsoft Office Button and then click Save As.

2. Click Tools, and then click General Options.


3. In General Options Type the password to open and modify


  • If you want reviewers to enter a password before they can view the document, type a password in the Password to open box.
  • If you want reviewers to enter a password before they can save changes to the document, type a password in the Password to modify box.

If you don't want content reviewers to accidentally modify the file, select the Read-only recommended check box. When opening the file, reviewers are asked whether or not they want to open the file as read-only.

4. Click OK.
5. When prompted, retype your passwords to confirm them, and then click OK.
6. Click Save.
7. If prompted, click Yes to replace the existing document.

Change a password
You can use the same step in Set a Password but when you come to step 3 (General Options) Select the existing password, and then type a new password.

Remove a password
You can use the same step in Set a Password but when you come to step 3 (General Options) Select the password, and then press DELETE from your keyboard.

How to configure Word, Excel 2007 options to save file into 97-2003 format?

Your parties (users running Word or Excel 2003, or earlier version) can’t read your new Word, Excel 2007 files, can they?
Read the Tech Tips below to have such a problem solved easily and permanently within a few clicks.

This method is recommended to prevent compatibility issue. You have an option to choose a default file format in Word 2007.

Follow instruction below :

• Click on Microsoft Office Button
• Click on “Word Options” button located on the lower-right of the menu.



Remark:
In Excel 2007, the option will be “Excel Options” instead. However, the configuration below is the same.

On the Word Options dialog
• Click on “Save” button in the left pane.
• Click on a combo box located to the right of “Save files in this format” text
• Choose “Word 97-2003 Document (*.doc)”. With this option, your new document will be saved, by default, in Word 97-2003 Document file format. This will minimize a compatibility issue between Word 2007 users and previous version users. Once finish, click OK button

Remark:
In Excel 2007, only one change is from Word 97-2003 Document(*.doc) to Excel 97-2003 (*.xls)

• Next time you click “Save”, the file format will be Word 97-2003 Document as a default. To verify this, you will see “[Compatibility Mode]” in the document title after saving it.
